How much does AV cost for an event in Vancouver?

 

Answer:

AV costs vary depending on the size and complexity of your event. A small meeting or private party may start around $1,500, while a full-scale conference or gala can range from $5,000 to $25,000+. We offer free consultations to help you find the best solution for your specific needs and budget.

Question:

How far in advance should I book AV for my event?

Answer:

​For smaller events like meetings and private parties, we recommend reaching out at least 4–6 weeks in advance. For larger events like conferences and galas, 3–6 months is ideal. Popular dates — especially in spring and fall — fill up quickly, so earlier is always better.

What is Waveright's pricing policy?​

Answer:

​We know that other AV providers sometimes have hidden fees or unapproved expenses that show up on the final invoice. We don't want you to have any unpleasant surprises. Unless you ask us to make changes or you approve our recommended changes, the amount we quote you in the contract will be the same amount you find in your final invoice.

​We are a full-service audiovisual company, which means we provide sound, lighting, video, LED walls, live streaming, hybrid event technology, and even interactive lighting and video solutions. We create video content for businesses, specializing in event highlight reels and branded content. We also handle installation and integration projects and offer consultation and event management services.

​Can you provide AV for both indoor and outdoor events?

Answer:

​Yes. We have experience with both indoor venues and outdoor settings, including tented events, rooftop spaces, and open-air venues. Outdoor events require additional planning around weather, power supply, and acoustics — all of which we account for during the consultation and walkthrough process.

​We plan for this. During the consultation phase, we discuss your schedule and build in buffer time. If your event runs significantly over, we'll do our best to accommodate — just flag it with us as early as possible so we can adjust accordingly.

​Can I hire Waveright even if my venue has an in-house AV provider?

Answer:

​In most cases, yes! Many venues allow outside AV providers, though some may charge a patch fee. We're experienced in navigating venue contracts and can often save you significant money compared to in-house rates. Reach out and we'll help you figure out your options.
